As a key player performing a vital role in the daily operations of the business, the incumbent is considered essential staff, indispensable for the seamless continuity and success of the business.
Duties/Responsibilities for the Accounting Assistant:
- Create and maintain vendors and customers
- Scan, route and allocate invoices for approval among multiple companies
- Create and issue checks, ACH transactions and wire payments
- Process director payments
- Deposit checks
- Pull and process all cash receipts and payables receipts
- Reconcile event accounting for billing to members and customers
- Create and disseminate monthly invoices to members and customers
- Review and process employee expense reports
- Manage credit card process to include monthly reconciliation
- Monitor AR balances and follow up on overdue invoices
- Update relevant job processes and procedures
- Test payables and receivables during accounting software upgrades
- Order and maintain department office supplies
- Serve as a backup for critical month-end close functions
- Assist with special projects, i.e. records retention, document management
Required Skills/Abilities for the Accounting Assistant:
- A proven track record of applying accounting concepts to transactions preferably in an organization with inter-company transactions between parent and subsidiaries or with brother/sister organizations
- Ability to manage weekly deliverables, and meet other time-sensitive deadlines
- Ability to quickly switch tasks, to complete last-minute requests
- Working experience with software based payables and receivables functions
- Initiative in identifying ways to make the position more efficient
- Microsoft Outlook®
- Microsoft Office®, especially Excel®, Word® & Access®
- Proficient in Microsoft Business Central is preferred.
- Proficient in Adaptive WorkDay budget program is preferred.

Education and Experience for the Accounting Assistant:
- Associate’s degree in Accounting or equivalent experience in accounting in a multi- company environment; Bachelor’s degree a plus
- A minimum of two years of progressive responsibilities in accounts payable and accounts receivable within a multi-faceted organization
- Nonprofit or cooperative accounting experience a plus
Physical Requirements for the Accounting Assistant:
- Prolonged periods sitting at a desk and working on a computer.
- Able to travel as needed.

- Position reports to Manager – Finance
Compensation Range for the Accounting Assistant:
- Pay Grade 3: $55,000 – $60,000
