<p><strong>Primary responsibilities of the Executive Assistant position</strong></p>

<li>conduct research, assemble and analyze data to prepare reports and documents</li>

<li> Originate, underwrite, close and provide construction-related support for Special Initiatives loans, such as HEELP, Pennvest, and R&R Loan, and determine eligibility for the R&R</li>
<li>Communicate application concerns, and credit and grant determinations to applicants.</li>
<li>Ability to discuss and resolve concerns related to files with supervisor, business partners and advocates for the applicants such as legislators and social services providers.</li>
<li>Support local program administrators and lending partners in Special Initiatives programs through written and verbal communications regarding responsibilities and monitor performance as our lending and home evaluation partners. Escalate concerns of partner performance to Senior Officer and Manager.</li>
<li> Maintain partner relations and approvals data including approving new, maintaining relations with existing, and purging expired partner lists, including those for HEELP approved contractors, and notary and closing agents. Update website and internal information as needed.</li>
<li>Ensure timely, accurate payments to contractors and business partners.</li>
<li>Keep borrower files based on program checklists, Agency,  and state and federal loan requirements. Scan and dispose of information per Agency requirements, demonstrating appropriate concern for customer information privacy.</li>
<li>Analyze and discuss programmatic issues at periodic Special Initiative unit meetings.</li>
<li>Update program forms, documents, marketing information, website content and related materials per request by management.</li>
<li>Participate in unit, division and agency meetings.</li>
<li>All officers are expected to complete special assignments and handle additional duties that may be assigned by their supervisor, the Special Initiatives Manager, another division manager or the division director.  Monitor and/or report on any special tasks

<li> Proficient with Microsoft Outlook, Word and Excel. Intermediate Excel skills including knowledge of basic calculations, charts, tables and graphics is a plus.</li>
<li>Must demonstrate attention to details including mathematical accuracy and ability to meet work timelines.</li>
<li>Excellent organizational skills that result in fully-documented borrower files.</li>
<li>Must possess above average verbal and written communication skills.  And, demonstrate the interpersonal skills to work as part of a team, as well as the initiative to work independently.</li>
<li>Must be able to work in a hybrid manner, combining in-person attendance and telework, as assigned by the Agency.</li>
<li>Able to provide consistent and compassionate customer service to customers and potential customers.</li>

<li>Date stamp, log and distribute incoming mail daily. Answer the phone and handle general inquiries relevant to the program.</li>
<li>Transfer move-in files to the designated directory for further processing.</li>
<li>Receive and distribute EIV penalty emails and weekly report to staff. Update and maintain internal spreadsheet.</li>
<li>Monitor receipt of negative 811PRA voucher payments as necessary.</li>
<li>Assist the Contract Administration Compliance Officer to set up site visits and obtain, organize, and index, desk review documents.</li>
<li>Maintain data, including but not limited to, DUNS numbers, EIN numbers, UEI numbers, Owner/Agent and TRACS contact information in assigned systems, including data changes identified in the Tuesday report.</li>
<li>Monitor assigned email boxes and follow-up on undeliverable emails and email addresses.</li>
<li>Obtain and update accurate email addresses in the applicable systems and forward the undeliverable message to the accurate email address.</li>
<li>Enter and index owner submission of special claims and all pertinent documentation as received to PHFA’s designated processing system and document management system.</li>
<li>Prepare monthly data reports for subcontractor’s scheduled upcoming Management & Occupancy Reviews.</li>
<li>Submit monthly, annual and other requested reports to HUD.</li>
<li>Maintain department’s form letters and notify staff of changes as necessary.</li>
<li>Work with applicable staff to update and maintain processing procedures manuals.</li>
<li>Monitor applicable systems to ensure all voucher and special claims documents are indexed timely and notify staff to correct any discrepancies.</li>

<li>Schedule and coordinate meetings, special events, and workshops for staff, project-related visitors, and volunteers as needed.</li>
<li>Manage stock of office supplies and assist in ordering new supplies.</li>
<li>Record board decisions; maintain monthly Board meeting agendas and minutes as requested.</li>
<li>Create, update, and maintain a filing system for reports, briefs, brochures, and other related documents for quick reference and easy accessibility.</li>
<li>Maintain and copy program materials as needed.</li>
<li>Upgrade and maintain affiliate database while performing system administrator functions and maintaining contact databases and office calendars.</li>
<li>Maintain select website content.</li>
<li>Collaborate with staff to maintain and update all committee manuals.</li>
<li>Sit in on committee meetings.</li>
<li>Process gifts and send appropriate correspondence (thank you's within the allotted time).</li>
<li>Support Special events as needed.</li>
<li>Maintain all waivers, and reconcile them with sign-in sheets.</li>
<li>Support organization initiatives.</li>
<li>Coordinate events with staff and volunteers.</li>
<li>Inform ED/Director of Operations on all pertinent events and issues.</li>
