Administrative Coordinator
Location: Mechanicsburg, PA

About the Opportunity
A respected professional organization in the Mechanicsburg area is seeking an experienced Administrative Coordinator to support daily office operations and professional staff. This role is ideal for a highly organized administrative professional who enjoys managing multiple priorities, coordinating meetings and events, maintaining records, and serving as a key point of contact for staff and members.
This position offers the opportunity to work in a professional office environment while providing critical administrative support across a variety of functions.
Key Responsibilities
• Answer and direct phone calls, emails, and member inquiries
• Coordinate meetings, appointments, conferences, hearings, and training sessions
• Maintain databases, records, and office files
• Prepare agendas, reports, presentations, rosters, and meeting materials
• Draft, proofread, and format correspondence and business documents
• Coordinate logistics for meetings, conferences, and training events
• Organize case files and assist with legal and arbitration-related documentation
• Process invoices and assist with budget tracking and office financial records
• Arrange travel accommodations and transportation
• Manage incoming and outgoing mail and document distribution
• Maintain office supplies and coordinate vendor services
• Provide administrative support during meetings and special events
• Troubleshoot basic technology issues and coordinate with IT support as needed
Qualifications
• Minimum of 3 years of administrative, clerical, or office support experience
• Strong proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
• Excellent written and verbal communication skills
• Strong organizational skills and attention to detail
• Experience coordinating calendars, meetings, and office logistics
• Ability to manage multiple deadlines and priorities
• Ability to maintain confidentiality and professionalism
Preferred Qualifications
• Associate's degree or post-secondary coursework in Business, Administrative Support, Office Management, or a related field
• Experience supporting legal teams, hearings, arbitration processes, or case management activities
• Experience working in education, nonprofit, labor relations, association management, or professional office environments
