Job Summary
Looking for detail-oriented, organized, and skilled in payroll administrator with a knack for managing data systems? The Payroll and Legal Tracking Support Specialist would lead in a critical role managing bi-weekly payroll processing, employee benefits, tax filings, and overseeing our legal tracking system; ensuring compliance and accuracy. Your work also will encompass legal tracking duties that will support our finance, HR, legal departments oversee billings and reimbursements, ensure compliance with NEA requirements, manage case records, and support audit processes with the additional opportunity to drive key functions that impact our entire organization.
Payroll Administration
  1. Prepare and distribute bi-weekly payroll and maintain payroll records.
  2. Process tax schedules and ensure compliance with tax regulations.
  3. Monitor and apply payroll tax rates and process payments.
  4. Handle employee benefits and reimbursements, including pension and 401(k) plans.
  5. Lead payroll software updates and act as a liaison with HRIS vendors.
  6. Prepare year-end reports and handle tax forms like W-2s.
Legal Tracking
  1. Administer and maintain the legal tracking system for timely billing and reimbursement.
  2. Train staff on legal tracking software and ensure compliance with NEA requirements.
  3. Audit and manage billing accuracy, maintain case records, and support audit requests.
Financial Management Support/Other Duties
  1. Serve as backup for A/P review, approvals, and payroll data entry.
  2. Prepare salary and benefit reports for budgeting and audits.
  3. Address governance and staff inquiries, and perform data entry for journal entries.
  4. Handle special projects, assist with divisional inquiries, and maintain confidential information.
  5. Create program-related materials, attend relevant meetings, and act as a divisional liaison.
Education, Experience, and Special Requirements
  • Education: Associate Degree in a relevant field (required); Bachelor's degree or payroll certification (preferred).
  • Experience: Minimum of three years of payroll experience, progressively responsible.
  • Knowledge of payroll processing, legal accounting, tax compliance, record-keeping, and NEA/PSEA programs.
  • Skills in analytical problem-solving, computer applications for data management, and interpersonal communication.
